What is an Enterprise Managed Print System (EMPS)?

EMPS enables Baker College to effectively manage and secure our environments, while promoting sustainability. We've added new devices and software at all of our campuses in order to provide our students with more robust and modern technology. Students will now have the ability to scan and email attachments, at no cost, to their Baker College email address or jump drive directly from a Multi-Function Device (MFD).

Beginning Winter Quarter 2014, all MFD printing will require everyone to swipe their Baker College ID card through the card reader installed on or near the MFD. When you are ready to print, and standing at the MFD, you must swipe your Baker College ID card to release your jobs from the print queue. Your documents remain on a secure print server for 48 hours before they are automatically purged for your protection.

NOTE: The ID replacement fee will be waived for the first two weeks of the 2014 winter quarter only.

How does it work?

Student ID cards will be required when using MFD's. Students will be required to swipe their ID card in order to retrieve images, using the scan functionality or when sending a fax.

Will I need my Baker College ID card to print to an MFD? Does it provide secure printing?

MFD devices provide secured printing. Instead of a print job going directly to the printer output tray, it is stored on a secure print server. It can then be released only by the ID holder, eliminating the mistake of others picking up parts of someone else's print job. Users will also be able to delete jobs sent to the MFD in error, reversing print cost. Also, your print job will stay in the E-Queue for 48 hours or until you go to any MFD, swipe your ID card, and release your print

Will I need my student ID when printing to a classroom device?

No, ID cards will not be required in classrooms so printing in the classrooms remains the same as before. Any print outs from classroom PCs will continue to send your documents directly to the printer's output tray and all printing will decrease your account balance.

What is a print quota and how does it work?

During Winter 2014, Spring 2014 and Summer 2014 we will provide free printing but still apply a quota. The quota for each of the three quarters will equate to $50 of free printing or faxing based on the schedule, below, the cost will be subtracted from your account balance:

Baker College related documents that require faxing, this service will be provided free of charge. Please inquire at any customer service desk located on campus

If you print balance reaches $0 you will not be able to print.

How do I increase my print quota?

Anyone who exhausts their allotted quota during the quarter will need to go to the Print Cashier Station and request additional printing credits. Print quotas can be increased free of charge for the remainder of the 2013-14 academic calendar year in the learning centers, libraries or ARC.

Do I have a print quota at each Baker College campus?

You will have a separate print quota account for each of the Baker College campuses. However, at this time the print quotas cannot be combined, shared or moved between campuses.

When does my print quota start over?

Unlike student paid account balances, established quotas are reset one week prior to the start of every new quarter and do not carry over to the next quarter.

Do work-studies or RA's have the same quota as other students?

Yes. Supervisors can request additional allotted funds for designated work-studies and RA's doing departmental printing. Supervisors will either contact the staff at a Print Cashier Station or complete a ticket through http://help.baker.edu.

Where can I see my printing account and balance?

There are two ways to see your account balance.

1. Equitrac Account Monitor (EAM) software is installed on all Baker College Computers in the learning centers, libraries and ARC.

Click on the EAM icon in the system tray in the lower right corner of your screen.

 

 

2. Cost Preview (pop-up window when you select print from your application).

What can students do to reduce the amount of printing?

1. Print to a PDF file and save it to your folder, a jump drive or email it.

2. Use the “Preview” option to see what the printout will look like and verify it is what you wanted before you print the document.

3. Ask your instructor if you can email them the document or upload the document to Blackboard.

I printed, but nothing happened.

The print job may be waiting for you to swipe and release it from the MFD. Don't click the “Print” several times. This will only use up more of your print quota and will not solve the original problem.

My printer says “Access is Denied?”

If you recently changed your password, you will need to reboot your PC.

When I swipe my card the MFD states "Get Account Info Failed. Cannot Log In".

It's possible that there's an issue with the ID card, please enter you PIN on the MFD login screen.

There is up to a three hour time period for the new data to filter through system. If you need to print immediately, you can type the information, Personal Identification Number (PIN), into the device located on the back of your student ID

The PIN is the ISO + UIN + VER all strung together minus any spaces or dashes. The PIN for the card illustrated below is 6034129991234502.

What if my project or paper requires single sided (simplex) printing?
You can print either single or double sided depending on the requirements. If you need to print a single sided document you will need to specify your printing preferences by changing the print properties for your document before printing.
What happens if I make a mistake and print 100 copies instead of 10?

EMPS allows us to put controls on devices to prevent mistakes. Classrooms have a 50-page limit per print job, preventing someone from accidentally printing 55 pages if they only meant to print 5. If the print job exceeds 50 pages, a notification will be displayed in the bottom right-hand corner of the screen.

In learning centers, libraries and ARCs there is an Equitrac Cost Preview (pop-up window) option that will warn users about what they are about to print and the associated cost, which must be confirmed. No refunds will be given on pages printed after confirmation.

What if the image generated from the device is defective?

We understand that printers jam, toners fail or prints random pages. If this happens, save the print out and bring it to the attention of your instructor or a staff member who will record your incident and request a credit on your behalf. Errors must be recorded and turned in when they occur and you must include the defective print job or no credit will be given.

When I try to print the Equitrac Messenger 'exceed...' message is displayed.

You exceeded printing your page limit of 50 pages per print job, decrease the size of your print job and retry. Students cannot print over 49 pages (per print job) in the classroom. You'll need to decrease the number pages in order to print.

Where do I get help with the printer I have selected?

The printer name located on the yellow label is the name used to identify printers. Use this printer name when selecting a printer or when reporting a problem you may encounter and when calling for assistance from staff or the ITSC at 800.645.8350.

Where can I go to get a new ID card?

If you have lost your Baker College ID card, visit your campus library or Campus Safety office to obtain a new ID card. There will be a $5 replacement fee for lost or user damaged cards. However, there is no replace fee if your ID card no longer works but you will need to provide your old in order to receive a free replacement.
