Administrative Assistant - Academics

Location: Baker College of Online and Center for Graduate Studies
Compensation: Salary based on education, experience, and existing wage rates paid for similar positions within Baker College Professional Services, Inc. Full benefit package.
Start Date: ASAP

Reports To: Director of Academic Affairs
Work Schedule: 40 hours per week/52 weeks per year, some evening and weekend hours may be required

Baker College Professional Services, Inc. seeks to hire an individual to be assigned to the position of ADMINISTRATIVE ASSISTANT – ACADEMICS (FULL-TIME) for the benefit of and to be located at Baker College of Online and Center for Graduate Studies

General Statement of Duties:

Provide administrative support to academic staff and department.

Minimum Education & Experience Requirements:

  • Associate degree from an accredited college or university or a minimum of 2 years full-time work-related experience required
  • Excellent customer service skills
  • Detail oriented
  • Familiarity with Learning Management System such as Blackboard preferred
  • Familiarity with database programs preferred
  • Able to operate multi-line phone system
  • Ability to train
  • Ability to operate and troubleshoot printers and copiers
  • Must be proficient in adding/retrieving data from data bases and creating reports
  • Must be knowledgeable in Microsoft Office Suite and Google Apps
  • Must have excellent verbal and written communications skills
  • Ability to lift and maneuver independently up to 25 lbs

Duties & Responsibilities:

  • Answer multi-line phone system
  • Order supplies
  • Computer work and copying work for multiple departments
  • Greeting and assisting students and guests
  • Complete special projects
  • Provide administrative support to academic staff for a variety of processes
  • Manage faculty files, teaching loads, and scheduling
  • Manage New Faculty Onboarding process
  • Maintain faculty database for department
  • Monitor student registration and process faculty teaching and academic contracts
  • Manage course shells in Learning Management System. Some course building may be necessary at times
  • Process/Assist online course and student uploads in Blackboard as needed
  • Generate and create reports
  • Communicate and answer questions from faculty and staff related to the duties and responsibilities above
  • Other duties as assigned
